Upload documents

You can import documents to Document Projects by linking them from external storages. The linked documents are displayed in SuperAnnotate, but they aren't stored in our local servers. Learn more.

A project can’t contain more than 500,000 items (images, frames, videos, and documents).

🚧

  • SuperAnnotate supports text files with UTF encoding only.
  • You can't upload more than 50,000 documents, whether it's in a project's root or a folder. The remaining documents will be skipped.

Assign documents

To assign a document:

  1. In Data, select a document or multiple documents.
  2. Click Assign.
  3. Choose a user or multiple users from the drop-down list or type their name(s) in the search bar.
  4. Click Apply.

You can assign documents only to Annotators and QAs.

When you change the role of an Annotator or a QA, all the documents assigned to them will be unassigned.

Unassign documents

To unassign a document:

  1. In Data, select a document.
  2. Click Assign.
  3. Click the X button next to the name of the user you want to unassign or select Remove assignments to unassign all the users.
  4. Click Apply.

Request documents

To request documents, click Request tasks in Data.

Only Annotators and QAs can request documents. They'll be automatically assigned up to the number of documents that's set in Request item number in Settings. The minimum number is 1 and the maximum number is 50.

Received document status

  • Annotators receive documents with the following statuses: Not started, In progress, and Returned.
  • QAs receive documents with the Quality check status.

Document receiving order

Annotators and QAs receive requested documents in one of the following orders:

If there's a folder

Annotators and QAs will first receive documents from the folder, then they'll receive the documents from the project’s root (if available) in ascending alphabetical order.

If there are multiple folders

Annotators and QAs will first receive documents from the folders, then they'll receive the documents from the project’s root (if available) in ascending alphabetical order.

If there is no folder

Annotators and QAs will receive documents from the project’s root in ascending alphabetical order.

If the Annotator or QA has folders assigned to them

The Annotator or QA will first receive the documents from the assigned folders, then they'll receive documents from the other folders and the project’s root.

If the number of documents available in the first folder is smaller than the number of Request item number in Settings

Annotators and QAs will receive the remaining documents from the next folder.

Suppose a project has a Request item number of 50 and contains the following items:

  • Folder A: 40 documents
  • Folder B: 30 documents

When the Annotator or QA request documents, they'll receive 40 documents from Folder A and then 10 documents from Folder B.

❗️

  • Annotators and QAs have to finish working on the assigned documents to be able to request more documents.
  • An Annotator can't receive documents from folders assigned to other Annotators.
  • A QA can't receive documents from folders assigned to other QAs.

Document statuses

Status

Definition

Not started

Not started means that the Project Admin or Annotator hasn't started working on the document.

In progress

In progress means that the Project Admin or Annotator is working on the document.

Quality check

Quality check means that the Project Admin or Annotator is reviewing the document.

Returned

Returned means that the document is returned to the Annotator for further review.

Completed

Completed means that the Project Admin, Annotator, or QA (with the permission to complete) completed the document.

Skipped

Skipped means that the document is completed, but it doesn't contain annotations.

Find document

To find a document, go to Data and type the name of the document in the search bar.

Sort documents

In Data, click the drop down arrow, and sort the documents by:

  • Document name
  • Status: Not started, In progress, Returned, Quality check, Completed, and Skipped.

Filter documents

In Data, click the filter button and filter the documents by:

  • Assignee
  • Annotation status: Any, Not started, In progress, Quality check, Returned, Completed, and Skipped.

To apply the filter, click Apply.

To remove the filter, click Reset > Apply.

Delete documents

To delete a document or multiple documents:

  1. In Data, select a document or multiple documents.
  2. Click the delete button.

Only Team Owners, Team Admins, and Project Admins (with permission) can delete documents in bulk.
