Assign & share folders

Assign folder

You can assign a folder to one or multiple users with applicable roles (Annotator, QA, or a Custom role). After assigning a folder, only assigned users will be able to request items from that folder.

To assign a folder:

  1. In the Data tab, click the three dots on the folder you want to assign.
  2. Click Assign.
  3. In the pop-up, select the user you want to assign.
  4. Click Assign.

  • Contributors can access and request tasks from any folder that they are assigned to, or folders that have no assignments at all.
  • When requesting tasks, contributors will receive items from the folders they are assigned to first. They will receive items from one folder at a time, in alphabetical order. If there are no more items left in the assigned folders, then contributors will receive items from an unassigned folder.

  • You can assign only one folder at a time.
  • You can assign folders to pending users.
  • Only Team Owners, Team Admins, and Project Admins can assign folders.
  • Only contributors that are assigned to this folder can request items from this folder.
  • You can’t assign items or folders to a user if their activity in that project is paused.

  • Annotators, QAs, and users with Custom roles can't be assigned folders that are already assigned to users with the same role.
  • You can't assign folders to Team Owners, Team Admins, and Project Admins.

Unassign folder

To unassign a folder:

  1. In the Data tab, click the three dots on the folder you want to unassign.
  2. Click Assign.
  3. In the pop-up, click the X button next to the names of the user you want to unassign.
  4. Click Assign.

When a user’s role is changed, their assigned folders become unassigned.

To remove all the assignments:

  1. In the Data tab, click the three dots on the folder you want to unassign.
  2. Click Assign.
  3. Click Remove Assignments.

Share folder with group

To share folders with groups:

  1. When in the Data tab, click the three dots on the folder you wish to share.
  2. Select Share with groups.
  3. In the pop-up, select the group(s) you want to share data with.
  4. Click Share.

Hovering over the shared icon next to the folder name will show you which groups the folder has been shared with.

🚧
  • Only Team Admins, Organization Owners and ungrouped Project Admins can share folders with groups.
  • A grouped Project Admin will be able to manage the data shared with their group only, in case permission is enabled for them.
  • A grouped non-admin contributor will be able to request data from the data scope shared with their group only.
